MIL (87) lives in assisted living. She has advanced dementia and can barely speak. Her license expires in 1 year. (I think there's a 6 year term on licenses in our state.)
Her passport expired in 2009, otherwise we would renew that by mail when the world opens up again and we have access to her.
Will we need to get her a state ID? Does she need an ID for any purpose? I think yes? (FIL passed a few months ago and the funeral home asked for his ID, birth certificate, and I think SS card?) With her dementia I assume DH would need to go with her as her POA. By this time next year it may be near impossible to get her into the DMV for photos. She's hardly walking and requires a full time aide.
Thinking through logistics as we need to make note on our calendar for December'ish to plan this out, if there's anything we need to action.

We let my grandfather’s expire. When it was requested most places accepted it and understood he was elderly and disabled. The funeral home is likely using it to id the person. I wouldn’t think it needs to be valid. When my mom passed we did not need her id (she never drove) since the hospital was able to verify her. Maybe you will not need it

This is an instance I'm concerned about. Although we have her wallet here with us, and she's gone to the ER alone (due to Covid) 3-4 times since March for falls. She appears to have been admitted merely using the medical file assisted living has given paramedics, who then handed them off to the hospital. She will never not live in assisted living or a nursing home, FWIW.

In NY, the DMV issues non-driver IDs, in standard form, REAL ID compliant form, and enhanced form, useful for all the ID/travel purposes that a license is useful for, just no driving privileges. Here in NY, you would not need a new photo taken or new signature unless you're upgrading from standard to REAL ID compliant or enhanced, or REAL ID compliant to enhanced. I am pretty sure you don't need to go in person to "downgrade." I don't know about your state, but NYS has also increased the services provided online, and you can renew a lot of things online. IDK if you can do the downgrade request from license to non-driver ID online, that's a pretty specific transaction. Hopefully this will not be too onerous for you.
In my state due to covid they are currently renewing drivers licenses without a new photo or anything. You basically just pay the money and get a new one that’s good for another term.
If this is the case in your state that’s probably what I would do as it seems the easiest solution.

When FIL passed at the end of the summer we had to tear his house apart looking for documents. Many of them were falling apart after nearly 90 years. It's crazy. Then we realized he changed his name in his 20's (immigration issue) and we dug up court documents, too.
We have a long to-do list for ourselves based on what we needed for FIL. I want to make sure everything is in a folder in our safe. I've also called my parents a few times to ask that they gather similar documents. Thankfully my dad already has them in a 3 ring binder tucked away. He told me where to look when the time comes.

I recently found my mom's pay stubs from her job in NYC and then when moved down to DC. I found my dad's W-2 and tax return from '81, I think. It is kind of wild. yet, cannot find my original birth certificate nor the marriage license. I did buy new bankers boxes so I can separate out what' what have it organized and labeled. I have already shredded over 300 pounds of paper.

Does the assisted living place have someone who can handle it or help point you to how to do it? In my facility (nursing home) the social workers are the ones who do this. whether or not family is involved
