Does she have a smartphone? If so, I'd probably just find an app that allows multiple users for one baby.

The app I used (Baby Tracker) was free and didn't allow multiple users, but it was so convenient to have the timers that said "42 minutes since last feeding" or whatever.
Whenever the topic comes up, Baby Connect seems the most popular and allows for multiple users.
I have never given our nannies a specific schedule to follow or a template to fill in. I've given approximate nap times and have suggested activities like library story time, but haven't insisted on anything in particular.
I've left bottles in the fridge and had a conversation if my child seemed to drink less or more than usual on a given day, but I could honestly care less whether bottle 1 was consumed at 9am v. 10 am and whether the baby pooped 1x v. 3 unless it seemed like he/she (I have both a DD and DS) had an upset stomach or reaction to something.

Our nanny spent the day with H and the girls to see our routines. For the almost 3 year old, the schedule is pretty set. For the almost 4 month old, we still have her eat and sleep on demand. That may change in the next few months and we'll roll with it! I'm hoping she can get the baby to nap in her crib and if she comes up with a schedule, we'll follow it!!
I used Baby Connect, and it allowed me, my H and our nanny to keep track of those things in the early months. Then I stayed at home with him for a while.
When we hired a nanny again when he was about 14 months, I did give him a loose schedule - naptimes, mealtimes, and then suggested that we'd like him to get out of the house at least once a day. I also provided times for library story times and some other activities. The nanny we have now has kind of adjusted to her own schedule as time has gone on, but she's been with us for a year. She knows better than I do when he gets hungry and when he's tired, and what activities he enjoys when they get out of the house.
My nanny wouldn't use the app (technology challenged) nor would my H (just stubborn).
We used notebook paper and I transferred it to my app at the end of the day. She had 3 columns: feedings, diapers, naps. She went above and beyond by also writing long notes about their day with funny comments.
I suggested a loose schedule, but it had to be loose because he was only 2.5 months old when she started. He hadn't even formed a schedule yet by that time. She took him outside a couple times a day, read books, did lots of tummy time, played music or sang to him, stuff like that. She knew more about babies than I do, so I didn't have to suggest much.
